POSITION
Full time position is available for a Personal Assistant in Cairns, QLD 4870.
SKILLS
The role requires you to hold at least a relevant diploma + 2 years of full-time relevant employment experience. If no relevant qualification, at least 3 years of full-time relevant employment experience is required.
RESPONSIBILTLIES
The Personal Assistant is responsible for a range of administrative support tasks in support of Directors, Managers and professionals including researching and preparing various documents, processing incoming information and correspondence, and maintaining records/files. Additionally, the Personal Assistant will assist with meetings, phone calls, emails and project tasks.
TASKS
- Liaising with team members to support operational efficiency.
- Conducting research and drafting reports, briefing materials, memos, correspondence, and other routine documents.
- Maintaining confidential files and documents.
- Attending meetings and taking on secretarial duties as needed.
- Managing appointment schedules and making travel arrangements.
- Processing incoming and outgoing mail, filing correspondence and maintaining record systems.
- Taking and transcribing dictation of letters and other documents.
- Maintaining work areas in a manner that allows quality work to be carried out.
- Maintaining clean, neat and tidy, professional presentation and attire at all times.
- Providing polite, positive, clear reception of all visitors.
- Answering phone calls using clear English vocabulary and delivery. Company policy is 3 rings.
- Screening all incoming telephone calls with a polite, tolerant, patient demeanour, using firmness when required.
- Raising Action Reports, recommending corrective action and offering suggestions for improvement.
ADDITIONAL ATTRIBUTES
- Thorough knowledge of work activities performed within the workplace.
- Sound knowledge of procedural/operational methods of the workplace (or ability to rapidly acquire).
- Well-developed interpersonal and communication skills.
- Strong professional discretion and confidentiality ethics.
- Well-developed organisational skills.
- Ability to organise and prioritise tasks.
- Demonstrated proficiency in computer skills with a broad knowledge of word processing programs (especially MS Office).
- Ability to work with people from different cultural and socio-economic backgrounds.
SALARY
The salary offered will be $70,000 to $80,000 per annum based on experience.
