About You
The Operations/office Coordinator oversees and coordinates the day-to-day operational activities, ensuring smooth workflow across services, logistics, compliance, and internal administration.
Key Responsibilities
- Coordinate daily operations (projects, and schedules)
- Manage operational documentation
- Support logistics and supply coordination
- Act as liaison between management, field teams, and clients
- Monitor operational timelines and report progress/issues
- Assist with budgeting, invoicing, and cost tracking for operations
- Ensure adherence to safety and regulatory standards
- Maintain operational systems, files, and internal procedures
- Project coordination, administration, and compliance support
- Assist with contract administration and variations.
- Reconcile timesheets against project records.
- Support cost tracking and invoicing.
- Manage emails, calendars, and shared inboxes.
- Manage stationery and office supplies.
- Maintain electronic and hard copy filing systems.
Technical Documentation and Tender Support
- Assist in the preparation and maintain project documentation
- Support technical document writing
- Assist with tender preparation
- Maintain libraries of standard project and technical documentation.
Authority & Permissions
- Access to operational schedules and project plans
- Edit/manage operational documents and records
- Communicate directives to operational staff
- Approve routine operational expenses
- Recommend process improvements to senior management

- Operations Director / General Manager

Skills and Experience
- Experience in project or office administration.
- Strong organisational and communication skills.
- Experience in construction, marine, or diving environments desirable.
