POSITION
Full-time position is available for an Executive Assistant in Cairns, QLD 4870
SKILLS
The role requires you to hold at least a relevant diploma + 2 years of full-time relevant employment experience. Applicants without a relevant qualification must demonstrate at least three years of full-time relevant employment experience.
RESPONSIBILTLIES
The Executive Assistant provides efficient and confidential administrative and coordination support to the Chief Executive Officer (CEO) and contributes to the smooth functioning of executive and organisational operations. The role works under limited direction within established organisational procedures, exercising initiative, sound judgement and effective time management to coordinate competing priorities and ensure accurate, timely completion of administrative and executive support functions.
TASKS
Executive Support
- Provide confidential, administrative support to the CEO, including diary management, correspondence, emails and document preparation
- Coordinate meetings, including scheduling, agendas, venue/online arrangements, and minute-taking
- Prepare, format, and distribute meeting papers and follow-up documentation as directed
- Support internal coordination of tasks and workflows to assist with CEO priorities
- Provide administrative support for Board and committee processes, including preparation, collation and distribution of documentation under direction.
- Coordinate travel arrangements for CEO as required, in line with organisational processes and approvals
- Maintain accurate records, filing systems, and document tracking processes
- Provide administrative coordination of communications between the CEO and internal and external stakeholders as directed
Governance and Administration Support
- Assist with preparation and distribution of Board and Executive documentation under direction Support document control, including filing, version management, and record keeping in line with organisational procedures
- Take minutes and support meeting administration for governance and internal meetings as required
- Assist in maintaining compliance-related documentation and organisational records
- Ensure timely distribution and follow-up of governance and administrative documents as directed
Organisational Contribution
- Work cooperatively with staff across the organisation to support service delivery outcomes
- Contribute to general administrative and operational functions as required
- Participate in training and professional development relevant to the role
- Undertake other duties as reasonably directed by the CEO or delegate
ADDITIONAL ATTRIBUTES & REQUIREMENTS
- Demonstrated experience as a Personal Assistant administrative or executive support, preferably within a community service or not-for-profit environment.
- Strong proficiency in Microsoft Office Suite and administrative systems
- Well-developed written and verbal communication skills, with strong attention to detail
- Experience supporting meetings, documentation, and coordination of administrative workflows
- Ability to manage confidential information with professionalism and integrity
- Ability to work independently, manage competing priorities, and use initiative within defined procedures
- Demonstrated cultural capability and experience working respectfully with Aboriginal and Torres Strait Islander peoples and culturally diverse communities
- Current Driver’s Licence
- Current Blue Card (Working with Children Chek – QLD)
- National Police Check (issued within the last 3 months)
SALARY
Annual salary of $80,000 - $90,000 based on experience.
